How is the technology lag in the community living and human services industries affecting your turnover?

Posted by Nicola Dickinson on Jul 23, 2015 12:00:00 PM

Being in the human services or community living industries means that client care is your main focus. The type of care provided to your clients is highly personal, and the clients are more comfortable when they can build strong relationships based on trust and reliability with the care staff that assist them. However, turnover rates are very high, making it difficult to retain consistency in staff.

Some of the reasons given for high turnover rates are job stress and a lack of managerial support. Therefore, the problem now becomes trying to find a solution to these issues so that care workers can feel comfortable and supported in their place of work.

The technology lag is another large problem in the community industry. These organizations tend to be behind other industries in terms of the types of technologies they use to operate. In this modern age, and with the increase in demand for supported care facilities across North America, community living organizations need to find a way to use technology to their advantage.

This lack of automated processes can cause staff members to have to do additional work in their roles, and the inefficiencies in the organization can affect communication between supervisors and staff. These two issues can lead to workers feeling more stress in their roles, as well as feeling that they are not being supported by their managers due to the lack of communication.

Bringing comunity living organizations up to speed in the technology world may be the push needed to solve both of these problems. Outlined below are a few ways that technology can be used to decrease turnover rates:

Efficient scheduling system

Scheduling can be a very stressful process for any organization, but for the community living and human services industries this term takes on a whole new meaning. Supervisors need to post available shifts, review shift changes and find the best person for any given shift. Care workers need to bid on and manage shifts, as well as reconcile and explain shift changes. Finding an efficient online scheduling tool can remove the difficulties around scheduling in your organization. This type of tool allows staff to manage and review their schedules in one simple system, saving time and energy.

Improve communication

Communication between workers and their supervisors can feel like an impossible task, since emails can get lost in full inboxes, calls can go unanswered, and visiting a supervisor in person may not be a possibility during a busy shift. Care workers need to feel that their requests are being acknowledged, and supervisors need to keep track of their staff’s complex scheduling needs. To improve the communication between staff and supervisors, community living organizations can use a scheduling tool that updates shift changes and requests in real time and automatically sends the necessary information to master schedulers. This allows workers to feel heard and schedulers to find the best care worker for each shift.

Reduce administrative tasks

In the human services and community living industries, every task involved in scheduling shifts comes with its own administrative task. To request, cancel, or reconcile changes in shifts, staff members typically need to call a supervisor and fill out paperwork. These administrative processes can add up and cause even more stress in an already stressful job. Reducing administrative tasks can be done by using an online employee scheduling tool that integrates with payroll processes. These systems take all shift data that has been inputted and edited by staff and supervisors, and sends that information to payroll. This eliminates the need for re-keying of data as well as repetitive paperwork.

Using technology to track and manage your employee scheduling can make your organization an efficient place to work, where many mindless administrative tasks have been eliminated. An organization that operates efficiently takes pressure off of your staff, prompting them to want to continue working in that type of environment. Therefore, using technology to operate more efficiently can also reduce your turnover rates and streamline your organization. As a result of all of these changes, ultimately it will be your clients who will receive the benefits of this new and improved organization.
